Job Summary
Family Promise of North Idaho is seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to the Executive Director and ensure efficient day-to-day operations.
This role combines executive support, office administration, nonprofit operations, and donor/fundraising coordination in a mission-driven environment serving families experiencing homelessness and housing instability.
Key Responsibilities
Executive & Administrative Support
- Manage calendars, scheduling, and executive communications
- Prepare reports, presentations, and meeting materials
- Coordinate meetings, agendas, and documentation
- Maintain organized and confidential files and records
- Maintain board documentation and governance records
- Oversee daily office operations, systems, and supplies
Financial & Administrative Support
- Assist with payroll documentation, donations, and deposits
- Support bookkeeping and reporting
- Track financial and administrative data (Excel)
- Coordinate vendor relationships including IT support
Fundraising & Community Engagement
- Maintain donor records and prepare acknowledgments
- Support grant tracking, reporting, and compliance
- Assist with fundraising events, social media campaigns, outreach, and communications
Qualifications
- Experience in a similar role
- Strong organizational, multi-priority coordination and time management skills
- Proficiency in Microsoft 365 (especially Excel)
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and professionalism
- Experience working with diverse stakeholders
Preferred Skills
- CRM systems or donor management databases
- QuickBooks or bookkeeping experience
- Nonprofit or social services experience
- Event coordination or community outreach
